Econoweb Designs provides website consulting, maintenance and assistance services from Ontario, Canada. This policy explains how we handle personal information when you browse our website, read the Journal, use optional Google features or contact us. It does not replace any separate privacy or data-handling agreement for client work.
1. Information we collect and why
Enquiries and correspondence. Our contact form collects your name, email address, selected service and message. We also record submission time, enquiry status and notification status. We use this information to respond, assess your request, provide assistance and manage our correspondence. Submitting an enquiry does not subscribe you to marketing.
The form accepts plain text only and does not accept attachments. Please do not send passwords, payment-card details, identity documents or other sensitive information. If access to your website is needed for agreed work, we will arrange an appropriate way to provide it separately.
Technical and security information. Hosting and security services may process IP addresses, browser and device information, requested pages, timestamps and suspicious activity to operate and protect the site. Wordfence provides website security protection. Our contact-form rate limiting uses a protected identifier derived from your connection address rather than storing the raw address with your enquiry. This does not prevent hosting, security services or optional Google features from processing your IP address.
Search and browsing. The Journal offers keyword search, topic filtering and related articles. Search terms may appear in page addresses, browser history and server logs, so please avoid entering personal or sensitive information in search fields.
Website analytics. We use Google Analytics 4 (GA4), connected through Google Site Kit, to understand how visitors find and use our website and to improve our content and services. Analytics may measure pages viewed, referring websites, approximate location, device and browser information, engagement and interactions such as scrolling, searches, link clicks, downloads and successful enquiries. Measurement depends on your consent, browser settings and the features you use. We do not intentionally send your name, email address or contact-form message to Google Analytics. Please avoid entering personal information in search fields or page addresses.
2. How enquiries are stored and emailed
Accepted enquiries are saved privately in our website administration area before an email notification is attempted. Authorized administrators can read, search, update, export, retain or delete them. Access is restricted; enquiries are not published as Journal posts or comments.
Notification emails include your enquiry details and message. They are sent through our configured email service using WP Mail SMTP. If an email notification fails, the saved enquiry remains available to us. Email is not guaranteed to arrive immediately or securely in every circumstance.
3. How long we keep information
On-site enquiries: records are scheduled for automatic permanent deletion six calendar months after submission. Deletion takes place through scheduled cleanup. An authorized administrator may mark a record to be retained longer for ongoing correspondence or another necessary purpose, such as dealing with a dispute or a legal obligation. Retained records are excluded from automatic deletion until that hold is released. Administrators may also delete a record manually.
Email, exports and backups: these are separate copies and are not erased by the website’s six-month cleanup. We review their continued need and delete them when no longer reasonably required, subject to legal obligations and backup replacement cycles. Backup copies may remain until their normal expiry and are restricted to recovery purposes. If a backup is restored, applicable deletion decisions need to be reapplied.
Security and operational records: retention varies with their purpose and the hosting or security service involved. The six-month enquiry schedule does not apply to every technical log. You can contact us for information about the retention applicable to your request.
4. Cookies and your choices
Cookies are small files stored in your browser. Similar technologies, such as local storage, can also remember choices. Session cookies expire when a browser session ends; persistent cookies remain until they expire or you delete them. First-party cookies are set for this website; third-party services can set cookies for their own domains.
We use Complianz to display our consent banner and remember your choices. The categories in Privacy preferences explain which optional uses you allow. You can read the site and contact us by email without accepting optional cookies.
Functional. These support essential operation, security and remembering consent. Complianz uses cookies with names beginning cmplz_ to record your choices and the policy version. WordPress and security tools may also use cookies for authenticated access and protection. These purposes are separate from visitor analytics.
Preferences. Where used, optional preference storage remembers choices that are not essential to deliver the website. You can control this category separately in the consent panel.
Statistics. Google Analytics helps us understand website use. Its first-party cookies include _ga and _ga_*, which distinguish browsers and maintain session information. Google documents a default expiry of two years for these cookies; configuration, renewed visits and browser limits can change their actual lifetime. Cookie expiry is separate from retention of information already sent to Google. See Google Analytics cookie information.
Marketing and optional Google features. Google Maps and reCAPTCHA are controlled under the category labelled Marketing. This label does not mean that submitting an enquiry subscribes you to advertising. reCAPTCHA is used to prevent spam and abuse. These embedded features require the relevant consent and your action to load them; their processing is explained in section 5.
Changing your choice. Use Privacy preferences in the footer to reopen the panel. Choose Reject optional, Accept optional, or View preferences to select categories and save your preferences. You can withdraw optional consent at any time. Your browser also lets you inspect, block or delete cookies and other site data. Deleting consent cookies may cause the banner to ask again.
Google Consent Mode. On our public website, Site Kit communicates consent choices to Google through Consent Mode, with Complianz collecting your choices. Declining Statistics consent denies analytics cookie storage. Consent Mode can support limited cookieless signals when Google tags are allowed to load, so refusing cookies should not be understood as a guarantee that no connection to Google can occur. Google describes this processing in its Privacy Policy and Consent Mode explanation.
Withdrawing consent changes future optional processing and stops our embedded Google features from remaining loaded. It does not undo information already transmitted or necessarily erase cookies on Google’s own domains. You can remove stored cookies using your browser controls and contact us about information already held. Cookie lifetimes and analytics retention are separate from the six-month enquiry-retention schedule in section 3.
5. Google reCAPTCHA and Google Maps
reCAPTCHA: our contact form uses Google’s checkbox security check to help distinguish genuine visitors from automated abuse. When you allow and load it, your browser connects to Google and sends technical information, including your IP address and browser or interaction signals used for the check. reCAPTCHA uses a security cookie. Google processes reCAPTCHA customer data on our behalf to provide and secure this service. Our server verifies the result before accepting the form. If you prefer not to load it, or cannot complete the challenge, email us instead.
Google Maps: the optional footer map connects to Google only after the required consent and your load action. Google may receive your IP address, browser information and interactions with the map. Its handling of Maps information is described in Google’s Privacy Policy. Choosing an external map link opens Google’s website, where its own policies and settings apply.
6. Service providers and disclosures
Information may be processed by providers that support hosting, email delivery, security, backups, analytics and the optional features described above. We limit access to what is reasonably needed for those purposes. Information may also be disclosed where required or permitted by law, or where necessary to protect lawful rights and address abuse.
Providers may process information outside your province or Canada, where different laws and lawful government-access rules can apply. Contact us if you need details about the providers relevant to your information. We do not sell enquiry information or use it to build advertising audiences.
7. Links, client logos and social features
Client-logo links, social profile links and article-sharing controls may take you to another website. Those services handle information under their own policies. Copying an article link does not publish it or send it to a social network on your behalf. A client logo is not permission to use that client’s name or artwork elsewhere.
8. Your requests and concerns
You may contact us to ask about our handling of your information, request access or correction, request deletion, or withdraw consent to a use that relies on consent. We may need to verify your identity using information proportionate to the request. Rights and exceptions depend on applicable law; for example, some information may need to be kept for a legal obligation. We will explain relevant limits and respond within the applicable timeframe.
Please direct privacy requests to the person responsible for privacy at Econoweb Designs: [email protected], using “Privacy request” in the subject. If a concern remains unresolved, you may contact the Office of the Privacy Commissioner of Canada or another appropriate privacy authority.
9. Security and policy updates
We use access controls, validation, spam protection and other safeguards appropriate to this website. No internet transmission or storage system can be guaranteed completely secure. Please tell us promptly if you believe information sent to us has been exposed or misused.
We may update this policy as the site or our practices change. The date above identifies the latest revision. Where required, we will provide additional notice or seek consent for a new use rather than treating publication of a revised policy as consent.
